The test is whether a passerby in another industry would be slightly confused — if they would, you have written the right shirt.

Dwell time is the actual product
At a technical career fair, badge scans are cheap and conversations are expensive. Most booths have about eleven seconds before someone decides to keep walking. A print station changes the unit of measure entirely: a guest who has chosen a design and is waiting for the press will stand at your booth for three to five minutes, voluntarily, without an exit strategy.
Use that. Staff the wait with working engineers, not recruiters — candidates ask better questions when the person answering has shipped the thing. Let the design choice do the opening ("why that one?" is a far better first line than "what are you working on?"). And capture contact information with a QR code while they wait rather than intercepting them at the aisle.
One structural note: put the press where the crowd forms outside your booth line rather than in front of your demo. Watching a shirt get made is engaging, and a knot of spectators in front of your hardware costs you the demo conversations you actually came for.
Convention center versus campus
Downtown at the convention center, everything physical routes through the show’s general service contractor. Electrical, tables, carpet, and material handling all have advance deadlines, and the advance rate is meaningfully cheaper than the on-site rate. Order power explicitly: one dedicated 20-amp circuit per heat press. If you write "standard drop" on the form you will get one low-amperage outlet and a very slow morning.
University venues are the opposite trade. Less paperwork, no contractor markup, and often a friendly facilities contact — but the freight path can be a side door, a passenger elevator, and a long corridor. Confirm which door the cart goes through and whether the building is unlocked at your load-in time. Winter matters too: a January conference means blanks arriving in a cold truck and a crew hauling cases through slush, so build an extra thirty minutes into setup.
Waste is worth a sentence, because this audience notices. Printing on demand means you finish the show with unprinted blanks rather than four cases of large corporate tees headed for a storage closet.
Pick the press that fits the schedule
Exhibit hall traffic at a technical conference is bursty. Keynote lets out, four hundred people hit the floor for twenty-five minutes, then the hall empties for breakouts. Your method has to survive the burst.
DTF transfers are the workhorse: roughly 60 to 90 finished pieces per hour per station, full color with no per-color setup, and fine enough resolution to hold thin technical line work that a screen would lose. Live screen printing is stronger when the design is one or two colors and the run is long — it is faster at volume and it draws a bigger crowd, but each color needs setup and the station takes more floor. Embroidery is a six-to-twelve-minute-per-piece premium moment, which is right for a sponsor dinner or an advisory board and wrong for a career fair rush.
Many exhibitors run two methods: a screen or DTF station for the crowd, and a small embroidery or hat setup reserved for VIP badges. Sizes, quantities, and lead time
Order roughly 1.05 to 1.15 pieces per expected participant. For a technical conference, skew the curve larger than a general consumer event and carry a real supply of 2XL and 3XL — running out of extended sizes at hour two is the most common and most avoidable failure at these shows.
For winter dates, consider a mid-weight crewneck or hoodie instead of a tee. It costs more per piece and presses slightly slower, but it gets worn on the walk back to the hotel, which is the whole point.
